Director of Project Management

Job Description

As the person responsible for the internal scheduling of work throughout the agency, the person in this role is to Hirons what a conductor is to an orchestra. The director of project management manages the day-to-day operations of the project management function via Workamajig, Hirons’ project management software. A successful director of project management will:

  • Work with all departments to ensure projects are delivered on time and on budget
  • Be seen as a collaborative, helpful presence by all departments
  • Anticipate client and account team needs
  • Be responsive to questions and requests
  • Anticipate client and account team needs
  • Have a keen understanding of the agency and all internal departments

Responsibilities

  • Manage workflow in and out of Workamajig project management system
  • Monitor employee-owner time availability/constraints; recommend action as needed (for example, notify account team when creative is slow or recommend the hiring of freelancers when paid media is slammed, etc.)
  • Ensure all necessary items are provided up front (creative brief, specs, deadlines, brand documentation, etc.)
  • Conduct daily stand-up meetings with creative and digital/media departments
  • Conduct weekly agency projections meeting
  • Meet with departmental leads to discuss available resources, employee-owner bandwidth and appropriate assignments
  • Provide list of unmet deadlines to COO and report on upcoming staffing needs
  • Serve as agency contact for WMJ upgrades, updates and new features; manage staff trainings
  • Serve as back-up for production work (print, broadcast, radio, digital, out of home, promotional items)
  • Attend weekly 1:1 status meetings with direct supervisor
  • Identify and participate in internal and external professional development opportunities
  • Work on projects for Hirons as assigned
  • Meet a billable hour goal of 80% (6.4 hours of an 8-hour day; 32 hours of a 40-hour week)
  • Other projects/responsibilities as assigned
Operations Department

Hirons’ operations team is responsible for executing the day-to-day business of the agency, ensuring all non-billable work gets done. Our work includes everything from information technology to keeping the candy bins stocked and greeting every guest with a friendly smile to making sure meetings and events run smoothly. We develop policies and processes to make it all happen, and we’re constantly challenging the status quo to find more efficient ways to accomplish the work, all while never missing a step in meeting the demands of a fast-paced agency.

Required Experience

Qualifications and skills
  • Bachelor’s degree in marketing, advertising, public relations, communications, journalism or a related field
  • Minimum of three years’ experience in advertising, public relations, communications or a related field
  • Motivated, organized and detail-oriented
  • Extensive knowledge of advertising/public relations/digital industries and client service
  • Thorough understanding of the planning, creative and production processes
  • Superior verbal and written communication skills
  • Ability to handle all work in an ethical and courteous manner
  • Demonstrated professional maturity both in and out of the office
  • Proficiency in Microsoft Office, including Excel, PowerPoint, Word and Outlook
  • Proficiency with Workamajig project management software
